We are offering a role in Chicago, Illinois, in the construction/contractor industry. The position of Executive Assistant involves providing administrative support to our senior leadership team. This is a long term contract position, offering the chance to work in a dynamic, fast-paced workplace.

Responsibilities include:

• Coordinating appointments and managing calendars both internally and externally
• Assisting with a wide range of administrative activities and projects
• Arranging complex domestic and international travel plans and itineraries
• Completing and submitting expense reports in a timely manner
• Handling incoming calls and correspondence, responding independently to routine correspondence
• Preparing agendas and minutes for leadership meetings and distributing meeting notes and follow-up summaries as needed
• Collaborating with other leaders throughout the organization to gather updates and agenda items for meetings
• Assisting in the creation of presentation material for the leadership team and town hall meetings
• Supporting the compilation of board reports and packets
• Managing programs, events, meetings or conferences, including arranging facilities and caterers, coordinating speakers, managing event budgets, and handling all other meeting-related logistics
• Supporting activities between the main office and regional offices
• Acting as a liaison with other departments, leaders, and assistants both internally and externally
• Maintaining the confidentiality of all corporate, personnel, and team matters and upholding the highest ethical standards of business practice.

• Proficiency in Concur is essential

• Proficient in using Cisco Webex Meetings, Zoom, and MS Teams for virtual communication

• Experience with Concur for travel and expense management

• Familiarity with CRM systems for customer relationship management

• Experience with Kronos Timekeeping System for efficient time tracking

• Knowledge of About Time software for project management in the construction industry

• Strong calendar management skills to schedule and organize meetings and appointments

• Excellent communication skills for internal and external correspondence

• Experience in managing conference calls effectively

• Ability to draft and manage professional correspondence.
