We are looking for an Executive Assistant to join our team in the non-profit industry based in Westlake Village, California. In this role, you will be tasked with managing various administrative duties, including email correspondence, calendar management, and organizing meetings. This role offers a short-term contract employment opportunity.

Responsibilities:
• Manage email correspondence promptly and professionally.
• Maintain and coordinate calendars, including scheduling meetings and various events.
• Prepare, execute, and track contracts using CRM systems.
• Oversee the approval process of invoices.
• Create and manage expense reports.
• Arrange domestic and international travel itineraries.
• Convert Word documents to PDF and add to DocuSign for signatures.
• Upload and manage files on SharePoint.
• Use ADP - Financial Services, Cisco Webex Meetings, Concur, CRM, Kronos Timekeeping System, About Time, Calendar Management, Communication, Conference Calls, and Correspondence tools to perform tasks effectively.• Minimum of 5 years of experience in an Executive Assistant role within the non-profit sector
• Proficiency in ADP - Financial Services
• Familiarity with Cisco Webex Meetings for coordinating virtual meetings
• Experience with Concur for managing expenses and travel
• Proficiency in using CRM systems for managing donor or stakeholder relationships
• Knowledge of Kronos Timekeeping System for tracking work hours
• Experience with About Time software for efficient time tracking
• Ability to manage multiple calendars and coordinate meetings
• Excellent communication skills for both internal and external correspondence
• Experience in coordinating and managing conference calls
• Ability to handle various forms of correspondence including emails, memos, and letters.
