Job Summary:

We are seeking a detail-oriented and highly organized Purchasing Assistant to support our procurement operations on a part-time basis. The ideal candidate will assist in managing vendor purchase orders, tracking materials, processing returns, auditing and reconciling credit card expenses, some accounts payable functions and supporting overall supply chain accuracy. This role is critical in ensuring seamless purchasing workflows and timely material availability to support sales and production.

Key Responsibilities:

Vendor Purchase Order Management

  • Prepare and process vendor POs; maintain and update open orders report.
  • Monitor and manage tariff rate changes.
  • Verify label requirements (label/no label lookups).
  • Confirm shipping locations for potential TIB (Temporary Import Bond) application.
  • Update vendor shipping verification dates.

Order Tracking & Coordination

  • Track late purchase orders and expedite with suppliers.
  • Regularly update PO and delivery dates in NetSuite (NS).

Vendor Returns & Credits

  • Process vendor RMAs (Return Merchandise Authorizations).
  • Maintain and update the VRMA data from suppliers.
  • Follow up on pending vendor corrective actions and analyses and ensure vendor credits or replacements are received in a timely manner.

Material Receipts & Invoicing

  • Process material receipts and vendor bills.
  • Manage weekly statements, receipts, and invoicing from key vendors.
  • File and organize vendor invoices accurately and promptly.
  • Assist with some accounts payable functions

Credit Card Statement Audits

  • Audit and reconcile monthly credit card statements.
  • Ensure each charge has a corresponding and approved PO in place.

Qualifications:

  • 1–3 years of experience in purchasing or a related administrative role.
  • Familiarity with ERP systems (experience with NetSuite is a plus).
  • Proficient in Microsoft products, particularly Excel and Word.
  • Strong attention to detail and follow-through.
  • Excellent organizational and communication skills.

Preferred Qualifications:

  • Experience working in a manufacturing or distribution environment.
  • Knowledge of import/export processes (experience with TIB shipments a plus).
